Professional & Technical Services, Inc., is seeking an Administrative Assistant to support day to day operations of the business.   This is a full time position responsible for providing primary administrative support in the areas of Administration, Payroll, Accounts Payable, Accounts Receivable, Marketing, Fleet Management and Information Systems as the need arises.  Tasks include but aren’t limited to organizing information and spaces; compiling data; maintaining records; generating reports; scheduling maintenance, events and meetings; running errands; coordinating with other employees, clients, vendors, and service agencies.


  • Bachelor’s degree in Accounting, Business Administration, Computer Information Systems, Finance or similar discipline and two (2) years of experience in the field related to the position.


  • Associate’s degree in Accounting, Business Administration, Computer Information Systems, Finance or similar discipline and four (4) years of experience in the field related to the position.


  • High school diploma, GED or equivalent and six (6) years of experience in the field related to the position.


  • Demonstrated ability to proficiently operate Microsoft Office software with an emphasis in Word and Excel.
  • Demonstrated ability to read, analyze, and interpret technical documents, procedures, or regulations.
  • Demonstrated ability to write proposals, reports, and other business correspondence.
  • Must possess a valid State of Alaska Driver’s license by time of hire.



Prefer applicants with a working knowledge of QuickBooks and photo editing software.

Duties and Responsibilities: 

Administration Perform general office duties in support of professional and technical staff.  This includes processing mail and other documents, filing, scanning, copying, maintaining office supplies and equipment; and keeping the office neat, orderly and well maintained.

Payroll – Perform payroll duties to include maintaining accurate and current billing account codes; reviewing timesheets; creating paychecks; making quarterly tax payments; posting retirement deposits; and processing year-end reports and filings.

Accounts Payable – Perform all duties associated with Accounts Payable.  Enter invoices into Quickbooks, confirming or assigning account codes as required (overhead, office supplies, fuel, etc.); Enter credit card charges, reconciling with monthly statements; Prepare and mail checks as required; File appropriate documentation as necessary.  Prepare year-end reports.

Accounts Receivable – Perform all duties associated with Accounts Receivable including creation of Quickbooks time reports, invoices and supporting documentation.  Maintain a system to track and follow up on unpaid invoices.  Post payments.  Track billable time and expenses, create reports, invoices; prepare, deliver and maintain billing submittal documents; Monitor overdue Receivables and following up with statements or phone calls for delinquent collections as necessary. Post payments, prepare and deliver bank deposits.

Marketing – Assist in the research and selection of RFP opportunities, and serve as lead developer of proposals, creating and maintaining marketing content such as photos, graphics, project information and employee qualifications and experience.

Fleet – Coordinate the repair and maintenance of fleet vehicles, initiate and maintain vehicle records such as registration and insurance coverage.

Physical Requirements: Ability to sit or stand and work at a computer for extended lengths of time.  Must have the ability to move and maneuver up to 30 lbs.

Working Conditions: Work is usually performed in an office environment with moderate noise level.
